The Grafisch Lyceum Utrecht is a small, creative technical college in the Netherlands with a history of over 100 years.

Clean Email by Design

The Grafisch Lyceum Utrecht is a small, creative technical college in the Netherlands with a history of over 100 years. Its training is geared towards those students wanting an education in creative media, design and communication.

When spam and virus emails started becoming a big problem at the school, they began searching for an anti-virus / anti-spam solution that would be easy to manage. At the time, they were using Novell GroupWise and decided to use GWAVA.

With over 2100 email users, Grafisch Lyceum Utrecht needed a cost-effective solution that let users manage their own spam. GWAVA was the best choice. They installed and successfully used GWAVA for GroupWise for some time before they decided to switch email systems to Microsoft Exchange.

Making the Switch to Exchange

At the time they decided to migrate their email system to Exchange, the school was running GroupWise 8 with GWAVA 5. They began their testing with GWAVA on their newly constructed Exchange mail environment and after some minor tweaking, found that GWAVA worked great with Exchange. The actual migration took about two weeks.

At a glance…

“In education, cost is critical to us. GWAVA offered us a great discount, plus we had no real hardware costs since GWAVA for Exchange runs on a virtual server.”

“Netflex, our GWAVA Premium Partner, was able to shift gears quickly and supply us with a new license right away.”

Martin Roberti,
System Administrator
Grafisch Lyceum

“We loved that GWAVA was able to make the switch to Exchange with us,” said Martin Roberti, System Administrator. “The interface is familiar and our users know how to use it, making the migration easier.”

They are also pleased that GWAVA has consistently provided outstanding protection against spam, viruses and malware – crucial in any environment and even more so in education.

Grafisch Lyceum Utrecht has about 1000 clients: 400 Apples running Mac OSX10.6.8; PC clients running Windows 7 SP1. Their server environment consists mainly of Windows 2008R2 servers with some Windows 2003 servers and about 5 Linux servers. Most servers run virtualized with Citrix XenServer. They have three Exchange servers and one GWAVA server with about 2100 GWAVA users.

GWAVA for Exchange

GWAVA stops cyber-criminals, spam and porn before they ever enter your Microsoft Exchange messaging system. The GWAVA secure message gateway uses the latest technology to detect viruses, malware, spam, and pornographic images and block them from your system.

GWAVA Keeps Exchange Server Clean

DStV, a professional tax consultant society in Berlin, had two problems: they were getting way too much spam in their Exchange inboxes and their internet connection was bogged down.

Their previous anti-spam/anti-virus solution collected all email in POP3 accounts and then fetched them via a POP connector. Afterwards, the emails were checked for spam and only then was the data forwarded to the internal server. This method not only caused long run-times, but all emails were downloaded instantly – even those with spam and viruses. As a consequence, the internet connection was overstrained.

Sven Hornbruch-Vandrey, the system administrator for DStV, contacted IT reseller NOVAGO from Berlin for help. NOVAGO has worked with GWAVA solutions for years and recommended that DStV try the GWAVA security solution for Microsoft Exchange.

GWAVA scans at the perimeter of the messaging system, catching spam before it reaches Exchange. Plus, the anti-spam technology used in GWAVA is constantly updated with new spam signatures and is constantly up-to-date, which means that very little spam gets through.

DStV uses a Dell server with Windows Server 2008R2 and Exchange 2003 and has 30 users on Windows 7. Because GWAVA sits at the perimeter of the system, no test installation was necessary. So NOVAGO installed GWAVA quickly on DStV’s system. Not only did GWAVA instantly solve the spam problem, but their internet connection is no longer overstrained. Now users no longer have to deal with hundreds of spam emails and can focus on their actual work.

System Administrator Sven Hornbruch-Vandrey is impressed with the GWAVA solution: “Since we’ve been using GWAVA, we receive our emails without any delay and spam is no longer clogging our mailboxes.

“The perfect compliment for a smoothly working system thanks to GWAVA came from my colleague on the Monday after the implementation: „ Our mail server must be broken, I haven‟t got a single spam mail in my mailbox!‟”

Pflugerville ISD Turns to SEP and GWAVA

Pflugerville ISD Turns to SEP and GWAVA for SAN and Server Migration,Disaster Recovery and Archiving

Situation

Pflugerville Independent School District, a fast-growing K-12 district in Texas, was faced with moving their operation from a legacy SAN and server hardware environment to a new SAN and Virtual Server installation. At the time, their existing backup system had become unreliable and inconsistent and was based on tape libraries, which the tape libraries were out of warranty. The tape libraries were out of warranty and starting to require maintenance.

The amount of data to back up had grown to the point that during the backup window there was not sufficient time to complete all the backup jobs necessary. The system, although once "state of the art", was now slow, cumbersome to use and unreliable. Backed up emails were difficult at best to retrieve.

The Challenge

It was imperative that the organization have a reliable backup system before they started transitioning to the new SAN and server environment. Pulling out the old tape library hardware was one of the first steps in that process in order to provide rack space for the new SAN and Server hardware. “We needed a backup system that would not require a great deal of physical hardward or space and would support our environment which was Novell NetWare, Cluster Volumes, and eDirectory,” states John Carlton, Network Administrator.

John Carlton also wanted a disaster recovery solution and reliable archiving that allowed users to retrieve their own old emails and that met his compliance requirements and open records policies.

The Solution

While attending a Novell training and Conference event, in which SEP sesam was a major sponsor, Sr. Systems Administrator John Carlton became familiar with SEP sesam and upon returning to work, began testing the software.

“After testing SEP sesam with the trial software they made available, we confirmed that it did in fact support Novell

NetWare Cluster Volumes and eDirectory Rights,” Carlton said. The team made the decision to purchase a piece of standard server hardware that could be reused or expanded down the road and SEP software to get us started on the transition process of going from the old hardware to the new SAN and server environment.

The Pflugerville ISD Systems department installed the new SUSE Linux and built the server which has 20 TB of onboard storage and occupies 2 rack units of space. SEP engineers worked with Pflugerville staff and remotely loaded the SEP software onto a server and implemented the desired configuration within a few hours. "After using SEP sesam for several months we have to say that we are very pleased with the product's expanded functionality, very pleased with the ease of use and in working with the company as a whole. In addition, SEP's support staff has been a pleasure to work with through out the installation and continues to be very responsive whenever we have questions!" stated Carlton.

“Thanks to the SEP sesam solution we had reliable backups immediately and now, restoring our critical data is fast, easy and accurate. It has allowed us to move ahead with the transition to the new SAN and server environment with confidence that we are protected as we move our data."

To address their disaster recovery and archiving needs, they turned to Reload and Retain from GWAVA. They use Reload to back up their seven GroupWise post offices and agents each night so that at any time, they will lose no less than one day’s worth of emails in event of system failure. They store faculty and staff emails for seven years and student emails for two.

They also run Retain each night to archive old emails. Once emails are archived, they are stored much more efficiently, but are still available to users.

“The process of restoring mail from the archive in Retain is much more efficient and easy. It is a reliable system that users are starting to trust and therefore not maintaining old mail in their mailboxes. Because of Retain, we can maintain smaller mailbox database files on the SAN,” explains John Carlton.

Results

“Implementing SEP sesam has eased our workload and has provided additional backup capability and capacity we did not have with other solutions. In addition, the time we spend working on backup related issues has been dramatically reduced," stated John Carlton.

"Our backup window is now sufficient to handle all the backup jobs necessary to protect the data. We start close to 30 full backup jobs of over 5 TB of data every Friday at 5 p.m. all of which usually finish by Saturday evening.

It fully supports Windows, Linux, and NetWare servers as well as Novell Cluster Volumes. Over the past year we have become confident in the system and no longer monitor our backup process after hours to insure that it is working. When we come in on Monday mornings, the process has routinely run smoothly and successfully.”

"We have already recommended SEP sesam to several of our colleagues in the area," Carlton added.

About Pflugerville Independent School District

Plugerville Independent School District is a fast-growing K-12 district in Texas that has been running GWAVA Reload and Retain for two years.

"The process of restoring mail from the archive in Retain is much more efficient and easy. It is a reliable system that users are starting to trust and therefore not maintaining old mail in their mailboxes. Because of Retain, we can maintain smaller mailbox database files on the SAN", explains John Carlton.

With Reload and Retain keeping their GroupWise emails secure, the benefits have been significant.

The Pflugerville ISD network administrators were able to replace their inefficient tape backup system and migrate to more cost-effective Linux servers. Not only that, but now they can pull email for public information requests quickly and easily. And best of all, service desk calls are way down, saving time and frustration for all of the 30,000 users on their system.

Banking on Retain and SEP

Grand Bank & Trust, a 12-year old community banking organization in the Palm Beach and Treasure Coast area of Florida, takes security very seriously. “Being a bank we might as well put a target sign on our network. It is a constant issue for us, and we take it very seriously. We back up our email nightly. All of our backups are written to tape or disk. These backups are encrypted in case one of our tapes manages to get misplaced,” explains Paul Rudin,Bank Officer and Network Administrator for Grand Bank & Trust of Florida. Choosing the right archiving and backup solutions were critical. Grand Bank & Trust of Florida chose Retain from GWAVA for archiving and SEP sesam after giving their previous solutions the boot.

About SEP sesam: “When we came upon SEP sesam, it seemed to not only fit all the requirements, but it also had additional functionality that we had given up hope of finding.”

About GWAVA Retain: “We had email archiving in place for nearly four years prior to our conversion to Retain…We found Retain to fill all of our needs and their customer support is top notch. We also lowered our backup footprint

from well over 750 GB for our archive server down to a much more manageable 200 GB with the conversion.”

Working Together…

“GWAVA and SEP together have allowed us to migrate to a strictly Linux-based ecosystem, lowering our costs. GWAVA has allowed us to lower our data footprint for our archive solution, which allows us to drastically change our backup solution for backing up our archive server. SEP has given us a product that allows us unparalleled options for how we backup all of our data. This has allowed us to reduce management overhead across the board, and since these are two of our most important functions, it has been imperative that they work well together. SEP is very adaptable to our changing needs as well.”

Paul Rudin
Bank Officer & Network Administrator
Grand Bank & Trust of Florida

Retain & SEP - Worth the Investment

When asked if SEP sesam and GWAVA Retain were worth the investment made by Grand Bank & Trust, Paul Rudin had this to say about each product:

"SEP sesam has performed up to and beyond our expectations easing the workload and providing a quality backup solution. The new solution has enabled us to provide an extra level of security in our backup design scheme. The time we spend working on backup related issues has shrunk by about 90%.”

“Retain provides us exactly what we need. The investment has already paid for itself in the 500 GB reduction in space on our SAN. We were nearing capacity on the SAN. And that is a huge amount for an organization our size. Plus, our users now have 100% access. It has really reduced the amount of time IT has had to spend doing email discovery. It’s much easier to search the system for a formal discovery as well.”

With Grand Bank & Trust, responsive customer service has been crucial as well. Both SEP and GWAVA have excellent support teams ready to help their users. Paul Rudin calls GWAVA support “top notch and professional.” He also states that SEP has the “best support really of any vendor we deal with.”

Municipality of ’s-Hertogenbosch

When the city ’s-Hertogenbosch in the Netherlands decided to change the email addresses of their 2000 GroupWise® users, they knew they needed a way to automate the process.

When the city ’s-Hertogenbosch in the Netherlands decided to change the email addresses of their 2000 GroupWise® users, they knew they needed a way to automate the process. Otherwise, they were faced with the very labour-intensive task of entering all of the new addresses manually.

So Paddy Verberne, R&D Specialist at the city of ’s-Hertogenbosch, contacted GWAVA to see if there was a chance to ease that process. And sure enough – thanks to Vertigo the dreaded task suddenly was a breeze!

“I heard what Vertigo could do and it was a done deal - we bought it,” says Paddy Verberne. “I appreciate Vertigo more and more as a tool which could literally do anything – I still consider Vertigo to be the one and only tool for GroupWise that really is worth buying!”

’s-Hertogenbosch has nearly 140,000 inhabitants. The municipality’s government offices are spread throughout the city at 25 different locations and are connected through single or redundant fibre optic systems. The city sets a high priority on security and as such, has two server rooms in different locations which are able to work independently to facilitate all ICT-related services. The servers also have a failover mechanism – just in case one of them breaks down. Once Vertigo was installed, it was just a matter of pointing it to a text file with the User ID and the new email address. Vertigo then made the entire switchover in less than 30 minutes! Without Vertigo, the IT department of the municipality would have had to spend almost a week of working days changing the addresses manually – not to mention the number of typing errors that could have crept in.

After that job was done, Paddy Verberne had time to discover what else Vertigo can do. He now uses it regularly to see a complete overview of rights, to check for user errors and to locate stuck SOAP events which prevent smartphones from synchronizing.

“Because of the new Vertigo feature our ROI was half an hour! Now I can use Vertigo to check for user errors with the nice table view or check for stuck SOAP events,” explains Paddy Verberne.

The municipality’s servers are virtualized using VMware ESX and they currently support Novell OES2 Linux, Microsoft Windows®, SLES 10/11 and HP-UX. Their current GroupWise setup consists of a fully virtualized OES2-Linux and GroupWise 8.0.2 HP2 setup and two BlackBerry® Enterprise Server 4.1 servers with about 100 users. To be able to connect more types of mobile devices on GroupWise, they are planning to implement Novell Data Synchronizer.

Email is a critical communication tool for every company. But for the Historic Royal Palaces (HRP), an independent charity that looks after the Tower of London, Hampton Court Palace, the Banqueting House, Kensington Palace and Kew Palace, it is more than just a message transfer between customers and suppliers. The data and information stored within email messages is a valuable asset. It is important to secure them as there are historical records that need to be preserved.

Historic Royal Palaces have four GroupWise® post offices – one at each of their main sites. They currently have about 650 live mailboxes. Though they do not currently support mobile devices, they provide a remote access service so that the staff can access their mail through WebAccess. They currently back up their email on a nightly basis to tape and GWAVA Retain™ imports e-mails every night from each of their four post offices. Before installing GWAVA Retain, the users were concerned about storage issues; however with Retain, users no longer have to worry.

Rob Ellner is the Network Manager at HRP and together with his team, he is responsible for administering and supporting the GroupWise email infrastructure.

“Before we settled for Retain our mail was archived using inbuilt GroupWise technology to users’ home drives. This was messy and expensive. Retain has centralized all email retention and the inbuilt single instance technology allows a far greater amount of data to be stored,” explains Rob Ellner.

Retain strikes the perfect balance between cost effective storage and lightning fast retrieval of messaging data. A key factor for HRP was that the backend of Retain is driven by a SQL database. This provides a greater scalability and performance.

“Retain’s single instance technology was an immediate attraction. We knew that this would allow HRP to keep a much higher proportion of its email data, without having to constantly request staff to clear down ‘un-needed’ mail,” says Ellner.

Historic Royal Palaces have been successfully using GWAVA Retain since January 2009. Apart from Retain they are using GWAVA Vertigo for user mailbox management and have used it for the past two years. They are also looking to roll out GWAVA Reload in the coming months to provide a resilient GroupWise infrastructure.

ELO Digital Office GmbH is one of the leading software manufacturers for Document (DMS) and Enterprise Content Management (ECM) solutions in the German market. Managing content and documents means that is essential for them to keep their information secure and free from viruses coming in through email.

Before implementing the GWAVA SMTP scanner, ELO was receiving enormous amounts of spam each day. That meant time-consuming extra work for users that was impacting productivity. They needed a better way to separate their vital business information from all of the junk mail and potential virus threats invading their inboxes so that their employees could get back to work. So they started looking for a solid and effective solution. Then GWAVA® 4.5 SMTP came to their attention. After setting up a test environment on their Exchange® server, they were sure that they had found the right solution.

“When spam becomes more and more of an issue in your company, you need to react. That is what we did. With the installation of GWAVA SMTP, we solved the problem,” explains Andreas Schulz, Head of Marketing.

GWAVA SMTP Protects Exchange Server

With some technical help from their distributor Inetra, ELO mplemented the GWAVA SMTP scanner quickly.“The installation and integration went through very properly. Due to the fact that we are able to use the existing infrastructure, we only had to invest in the GWAVA license and technical support. The ROI of the whole investment was less than one month,” says Andreas Schulz.

Since the GWAVA scanner sits at the perimeter of their Exchange server, spam is now getting stopped before it even gets a chance to clog up ELO’s email. GWAVA specializes in determining which emails are legitimate business communications so they are confident their employees are receiving them.

ELO successfully and thoroughly solved their spam problems with the GWAVA SMTP scanner on their Microsoft Exchange server. Now, their employees can concentrate on their work and rest assured their important documents are secure.

Migration from M+Archive to Retain

As a healthcare foundation, Prinsenstichting needs a secure and reliable archiving system for their email communication.

As a healthcare foundation, Prinsenstichting needs a secure and reliable archiving system for their email communication. Their data is sensitive and needs to be protected long-term. Prinsenstichting had been using the M+Archive solution.

But as their needs quickly expanded, Prinsenstichting began to run into more and more problems. M+Archive was not providing the reliability it needed for its critical data. It did not retrieve all of the archived email that was requested and the system required a great deal of time and attention to stay operational. Its performance was also unacceptably slow. So they decided to search for another solution.

Prinsenstichting’s long term ICT partner Tmi3 recommended the Retain solution from GWAVA. After looking at the solution, Prinsenstichting decided to make the move to Retain. The migration went very smoothly and quickly, even though they had copious amounts of data which had to be migrated to the new archiving solution.

“We had a special challenge that had to be addressed. The amount of data was huge, but we had to migrate it in a very short time frame. In total, we migrated 3.2 million mails in 5 days along with over 7.2 million associated documents. Because we used many machines, we made it happen in this short time frame,” states Albert Stevens, Cluster Manager ICT for Prinsenstichting.

In the end, it took only 2½ weeks to make the move completely from M+Archive to GWAVA Retain which included the migration of all of their old archives into the new Retain system. Another very important side-effect: The storage size was extremely reduced and went down from approx. 700 GB to 200 GB after Prinsenstichting migrated from M+Archive to GWAVA Retain.

“I am absolutely satisfied with GWAVA and Tmi3. They are delivering big knowledge and flexibility. They are thinking of me and always delivering the right solution. The fast communication between GWAVA’s engineers and their development department was fantastic. It’s wonderful to see that things can be done in a different way—the right way!” says Albert Stevens.

Prinsenstichting has 25 subsidiaries which feed into a single network with broadband via VPN. They have more than 35 servers, 380 digital workplaces and 500 GroupWise users. The IT infrastructure is a mixed environment – a combination of Novell 6.5 and Windows 2003 servers. They use eDirectory as well as Active Directory and all databases are SQL 2005.
